E-commerce accounting starts with the data flow

Online sales create records and money movements across several systems. We map the store, marketplaces, payment operators, bank, inventory and refunds first, then define a recurring accounting workflow.

INDUSTRY DATA FLOW

Six points that need to reconcile

We do not assume a direct integration with every platform. We agree reliable data sources, reports and a recurring handover rhythm so accounting can reconstruct the real sales flow.

01

Store / marketplace

Orders, sales, discounts and transaction statuses originate in sales channels.

02

Payment operator

Payouts may be reduced by fees, refunds or other deductions, so the bank transfer alone does not explain sales.

03

Bank

The account shows actual cash movements that need to be reconciled with operator reports and sales data.

04

Inventory and purchases

Goods, deliveries and purchase costs create a second data stream that needs to connect with accounting.

05

Refunds and corrections

Refunds, cancellations, discounts and corrections modify earlier data and need a clear handover process.

06

Accounting

Only the agreed set of reports, documents and settlements is then used for period accounting.

WHERE MISMATCHES START

The key question is often not “how many invoices?” but “can the data be reconciled?”

01

Sales report ≠ payout

A payment operator or marketplace may deduct fees and refunds. Accounting needs a report that explains the difference.

02

Refund after period close

Returns and corrections can arrive after the original sale. We agree how they are identified and handed over.

03

Several channels at once

A store, marketplaces and offline sales should not create several unrelated accounting processes.

04

Currencies and cross-border sales

Foreign sales, currencies and any OSS/IOSS-related scope require separate assessment; obligations are not determined automatically.

SOURCE MAP

At the start we need a map of systems, not your entire archive

The first step is to identify where data originates and who can access it. We then agree which reports should be supplied regularly.

Sales channels

own store, marketplaces, offline sales

agree sales reports and required fields

Payments

payment gateways, marketplace payouts, cash on delivery

agree payout, fee and refund reports

Bank

business and foreign-currency accounts

reconcile receipts, payouts and settlements

Inventory / ERP

stock, receipts, issues and purchases

agree the data needed by accounting

MONTHLY RHYTHM

A stable process matters more than one-off data cleanup

01

Close sales data

Collect or deliver the agreed reports for the period.

02

Reconcile payments

Connect operator payouts with sales reports, fees and refunds.

03

Resolve exceptions

Clarify missing or unusual transactions and information gaps.

04

Accounting and reporting

Record the data according to the accounting model and the company’s agreed scope.

LOGOS SCOPE

Accounting aligned with the sales model, not one generic store template

Ongoing accounting

Bookkeeping or full accounting according to the entity and agreed service scope.

VAT and sales

Recurring treatment of sales and VAT within the appropriate scope; cross-border sales are assessed separately.

Payroll and HR

If the business employs a team, the scope may include payroll, social security and personnel documentation.

Imports of goods

If goods are imported from outside the EU, e-commerce accounting can be combined with import accounting and EORI support.

INDIVIDUAL SCOPE

Show us how your sales work. We will define the accounting scope.

Tell us about your sales channels, payment operators, approximate volume and accounting model. We will define the scope before preparing an individual quote.

FAQ

Common questions about e-commerce accounting

Can you handle sales across several platforms?

Yes. We first identify sales channels, available reports and documents, then design a repeatable accounting data flow.

Do you need a direct integration with my store?

We do not assume a direct integration is required or available for every system. Reliable reports and a repeatable data workflow are the priority.

How are refunds and corrections handled?

The process depends on data from the store, marketplace and payment operator. We agree how returns and corrections are identified and when they reach accounting.

Can you support cross-border sales?

This scope can be discussed. We need information about sales countries, channels, currencies, warehouses and documents. Any OSS/IOSS-related obligations require assessment of the specific situation.

Can e-commerce accounting include non-EU imports?

Yes. If the business imports goods, the accounting scope can include import documents, import VAT and EORI registration support under a separate agreed scope.
